Interior Design Administrator (Clerical/New Home Construction)
Viera Builders, Inc. has an opening for a full-time, hourly paid Design Administrator working in a fast paced, professional environment. The Design Administrator is responsible for the maintenance of the Design Studio calendar (scheduling of appointments), Design Studio appearance and lobby, inventory of Design Studio samples, walk-in traffic, and supporting the Design Coordinators, Design Lead and Director of Design.
Duties include:
- Manages the Design Studio appointment calendar by scheduling, confirming, and updating appointments to support staff and provide a positive buyer experience.
- Administers and manages the Change Order process by preparing documentation, obtaining required approvals, tracking status, and ensuring timely communication with buyers and internal departments.
- Coordinates and verifies communications with internal and external departments to ensure accurate dissemination of information related to buyer selections, scheduling, and design changes.
- Manages the Design Preview process by conducting Design Studio tours, educating buyers on available design options, responding to questions with accurate information, and providing a professional and exceptional customer experience throughout the preview.
- Conducts buyer reselection appointments by presenting available options, documenting revised selections, and ensuring all changes are accurately processed and communicated.
- Manages the PowerPoint preparation process for Pre-Construction Meetings, oversees the appearance and organization of the Design Studio sales floor, and coordinates the replacement and updating of discontinued or revised display products and samples.
- Maintain and update buyer documentation, internal operational procedures, and the Design Catalog. Develop and maintain a comprehensive knowledge of all product offerings, options, and the current product lineup.
Employee must be available during the work hours of 8:30 am to 5:00 pm Tuesday through Friday and 10:30 am to 7:00 pm on Monday for Design Preview.
Requirements:
- A High School diploma and a minimum of one or more years in design or industry related experience. Experience in new home construction preferred. Excellent organizational and administrative skills; strong customer service and communication skills (written and verbal); professionalism; experience with Microsoft Excel, Outlook and Word.
